The position

Division Summary:
At OIST, the HR Division offers comprehensive assistance to staff throughout their entire employment journey, from initial enrollment to exist. Comprised of four distinct sections, each with a unique focus (Recruitment & Training, Assignment, Labor Affairs, and Salary & Attendance Management), the HR Management Section is dedicated to essential HR responsibilities, including social insurance, salary disbursements, and attendance management.

Position Summary
You will be responsible for addressing various inquiries from international researchers and staff, under the supervision of the HR Management Section Manager. Along with handling social insurance applications, payroll calculations, and attendance management, you will also maintain and update the HR system and employment contracts, process retirements, and share HR information with the campus community. Additionally, you will be involved in specific projects to support the organization's efficiency and growth, as directed by the manager. The HR Division also provides opportunities for job rotation to foster talent development.

About OIST

The Okinawa Institute of Science and Technology Graduate University was established in 2011 to contribute to the development of science and technology worldwide and to serve as a hub of innovation in Okinawa. OIST is a dynamic new graduate university of science and technology in Okinawa Prefecture, Japan which offers a 5-year PhD program and brings together outstanding researchers from across the country and across disciplines to conduct cutting-edge scientific research.

Responsibilities
  1. Point of contact for various inquiries from staff at OIST
  2. Support for social insurance administration
  3. Support for payroll calculation
  4. Support for staff attendance management
  5. Support for system administration
  6. Support for employment contracts (procedures for renewal of employment contracts and retirement of employees)
  7. On-campus public relations for document submission deadlines and notices
  8. Other project work as assigned by the manager
Qualifications
  1. Bachelor's Degree
  2. Experience using Microsoft Office (especially Outlook, Excel, SharePoint) 
  3. Business level English proficiency (TOEIC 800, equivalent to EIKEN level 2)  
  4. Willingness to learn and apply self-initiated, learning and business practicality, high motivation to tackle unprecedented and new challenges.
  5. Willingness to take initiative in order to carry out tasks.
  6. Accuracy and attention to detail, including detailed data entry and preparation
  7. Interpersonal skills with the ability to tolerate diverse ideas and communicate effectively
  8. Native level of Japanese language proficiency (JLPT N1 or equivalent for non-Japanese)
