Mini Orientation:
The session will include guidance on residence registration and the process of setting up a bank account with a local bank.
What to Expect:
- Document Distribution:
- The Relocation Staff will provide the necessary documents to complete these tasks.
- Preparation for HEART Registration:
- It is essential to finish residence registration and set up your bank account before the scheduled HEART registration.
- Required Document:
- Prepare a physical copy of your signed Offer Letter to the orientation, as it is required for opening a bank account.
- If it cannot be prepared by the mini orientation, the printer is available at the Resource Center.
Schedule:
As your departure date approaches, the Relocation Team will contact you with details and the orientation schedule.
Registering Your Residency at the Municipal Office:
When you arrive in Okinawa or at OIST, it is mandatory to register your residency at the municipal office. This process is essential for completing your registration in the OIST HR system (HEART).
- If you already have a permanent address:
Register at the municipal office in the area where your residence is located. - If you don’t have a permanent address yet:
Register at the Onna Village Office using the OIST address for your initial registration.
Note:
- Follow the guidance of the Relocation Staff during the mini orientation to determine the correct address for registration.
- Do not use the OIST temporary accommodation address for initial registration.
Documents Required for Residency Registration:
- Residence Card (if issued)
- Offer Letter
- Passport
- Cash (for purchasing the Residence Certificate)
- Application Forms (provided by Relocation Staff)
Once registered, purchase a Residence Certificate (住民票) from the municipal office. This document is required for your HR registration.

Parents of school-age children must obtain school information from the OIST University Community Services Division before the registration date.
If you plan to enroll your children in a local school:
- Additional steps will need to be completed at the municipal office.
- Further guidance will be provided by the Relocation Team.
Bank Account Setup:
If you don’t already have a Japanese bank account, you can open one at the Okinawa Bank Onna Branch. A bank account is essential for:
- Completing your registration in the HEART system.
- Receiving your salary and allowances.
If you already have a Japanese bank account, you can register it directly in the HEART system.
Note: An ATM machine for the Okinawa Bank is conveniently located at the Center Building, Floor C.
HEART System Registration:
The HEART system is OIST's HR operation platform where you need to register your personal information.
This includes:
- Documents from the municipal office (e.g., Residence Certificate).
- Bank account details.
The Relocation Team will inform you about the required documents as your relocation date approaches.
