J-PEAKS Engagement Coordinator
Through the Program for Forming Japan’s Peak Research Universities (J-PEAKS), OIST was awarded 5.5 billion Japanese yen over five years. This substantial grant supports and enhances OIST’s strategic initiatives by providing the means to transform our equipment, hire personnel, and extend collaborative frameworks to support high-quality research. This position will communicate to internal and externals audiences what J-PEAKS is and how it supports the work being done at OIST.
This position is funded by the J-PEAKS Grant, which was approved by the Japan Society for the Promotion of Science (JSPS).
The Okinawa Institute of Science and Technology Graduate University was established in 2011 to contribute to the development of science and technology worldwide and to serve as a hub of innovation in Okinawa. OIST is a dynamic new graduate university of science and technology in Okinawa Prefecture, Japan which offers a 5-year PhD program and brings together outstanding researchers from across the country and across disciplines to conduct cutting-edge scientific research.
The university is located on 85 hectares of protected forestland overlooking a beautiful shoreline and coral reefs. The campus is striking architecturally, and the facilities are outstanding. To facilitate multidisciplinary research, there are no academic departments. Outstanding resources and equipment are provided and managed to encourage easy access and collaboration.

Assisting the Internal Communications and Events (IC&E) Section with content creation and design duties including, but not limited to:
- Communications related to the Program for Forming Japan’s Peak Research Universities (J-PEAKS). Activities may include: creation, maintenance, and publication of J-PEAKS-related databases, webpages, and newsletters; assistance with reporting; other efforts related to active promotion of J-PEAKS efforts at OIST.
- Preparing material for all OIST internal channels (e.g., OIST's intranet portal, OIST Essentials internal newsletters, print promotional materials, internal websites managed by internal comms, and additional content curation and updates across OIST’s digital and traditional media channels as needed).
- Working closely and supportively with staff across OIST on matters such as promotion of events, information sharing and best communications practices, staff benefits and promotions, community activities, and opportunities to support cultural and public engagement events.
- Liaising as required with OIST design and digital staff where relevant. Coordinate translation of IC&E content as needed. Ensure all promotional materials within OIST — both print (e.g., posters, flyers, and trifolds distributed around the entire campus) and digital (e.g., info screens, event websites, and Groups calendar) — are up-to-date and accurate. Editing and proofreading a wide range of administrative materials, and continually promoting this service to OIST staff.
- Work closely with various departments, sections, and external partners to oversee the planning, preparation, and execution of key university events, ensuring seamless coordination and successful outcomes.
- Other divisional duties as required.
- Ability to write clearly in English at a business level with work experience in editing documents.
- Working proficiency in conversational Japanese (spoken and comprehension).
- Ability to organize and prioritize workflow, with a high level of accuracy.
- Ability to communicate and collaborate effectively with a diverse community.
- High degree of personal initiative and an interest in developing community relations.
- Computer skills and proficiency in software (MS Office: Word, PowerPoint, Excel and Outlook, Acrobat, and Canva).
- Education to at least Associate degree level or equivalent experience (Desirable).
- Working experience in international research institution/university.
- Working experience in both Japanese and international settings.
- Experience in digital design (ex. Websites, flyers, posters, social media posts, newsletters, etc.).
- Experience with event planning and hosting.

Full-time, 2-year fixed-term contract including a 6-month probationary period, renewable up to the end of the project period (March 31, 2029)
Scheduled Working hours: 9:00 – 17:30
Rest period: 12:00 – 13:00
Flextime (core time 10:00-15:00) 7.5hrs per day (Multiplied by prescribed working days per month)
Holidays
Saturday, Sunday, National holidays, and Year-end and New Year holidays (Dec. 29 – Jan. 3)
