Participant Event Information
Check-in Process
- Check-in Time: 9:30 AM – 30 minutes before the event ends
- Check-in Location: Main Reception or Auditorium Lobby
- Check-in Process:
1) Show your confirmation email (on your smartphone or printed) at the reception.
2) You’ll receive a guidebook and wristbands for all participants. Only those wearing wristbands can enter the event.
Access and parking
No road signs will be placed on the day of the event. First-time visitors are encouraged to check the website or map in advance.
How to Get to OIST
Parking will be available at the following two locations on the event day. Please follow the instructions of the staff:
Parking Building
Village Center Parking (slope, 5-minute walk to the venue)
Distance Between Venues on Campus
- Auditorium ⇔ Main Reception (Tunnel Gallery): ~5 min
- Main Reception (Tunnel Gallery) ⇔ Center Building: ~5–10 min
- Center Building ⇔ Laboratory Buildings: ~5–10 min

Must-Know Information
Safety Rules for “Welcome to Science! A Peek into Our Lab”
As the venue is a lab area, please follow these safety rules:
- Follow the instructions of the staff during the tour.
- Sandals or open-toe shoes are not allowed.
- Strollers and wheelchairs cannot enter due to limited space.
Attentions
- No Trespassing Area: For your safety, please do not enter the restricted area.
- Photo and Video Shooting: There will be photographers and videographers on campus during the event. Those who do not want to be photographed, please kindly come to the nearest information booth.
- Entrance Restrictions: When the venue reaches full capacity, we may apply restrictions at the entrance and program venues.
- Smoke Free Campus: Smoking is prohibited on campus.
Emergency Situation
Please follow the directions by OIST staff. We will guide you to the evacuation site.
Lost & Found, Lost Child
Please visit an information booth for help. Information booths are located at each venue.
OIST Pop-up Store
You can purchase limited OIST merchandise such as T-shirts, bags, and mugs at the auditorium lobby. Feel free to stop by!

Reservation Forms
*The reservation URLs will be available under each program by January 16.
Reservation Rules:
- Start Date: Noon, Thursday, January 16, 2025
- How to Reserve: First-come, first-served. Closes once full.
- Reservation Form: You need to enter your confirmation number. Please have it ready in advance.
- On the Day: Please arrive at the program venue at least 5 minutes before it starts.
- Reservation Confirmation Email: Please show the confirmation email at the program venue for entry.
