ERP Implementation Specialist

The position

To provide specialized support to the university’s research units and ERP project team throughout the implementation Digital Transformation with the new SAP enterprise system (S/4H, SF and Concur). This role will act as a facilitator of DX between research unit functions and the ERP core project, ensuring smooth adoption, harmonized processes, clean data migration, and effective training for research stakeholders.

Responsibilities

Research Unit & Project Support

  • Serve as a facilitator between Research unit and project consultants, clearly communicating business requirements and operational needs.
  • Support Research unit users in understanding SAP S/4HANA, Concur, and SuccessFactors functionalities and how they align with business processes.
  • Review solution designs and system behavior from a Research unit user perspective and raise concerns or improvement points to the project team.

Data Migration Support

  • Support data migration activities, including data preparation, validation, reconciliation, and business sign off.
  • Work with Research unit users to confirm data accuracy and completeness prior to system cutover.

Testing Support

  • Support system testing activities (SIT, UAT) from the business side.
  • Assist in creating test scenarios, executing test cases, and validating test results.
  • Coordinate with Research unit users and project consultants to track, analyze, and resolve defects.

User Manuals Creation

  • Create and maintain user manuals, quick guides, and operational documentation for end users.
  • Ensure documentation reflects actual business processes and system usage.

Internal Trainer

  • Act as an internal trainer for Research unit end users, delivering system training and process walkthroughs.
  • Support Research unit user readiness and adoption by addressing questions and concerns before and after go-live.
  • Serve as a key contact point during go live and early stabilization (hyper care).
Qualifications
  • Experience in SAP related projects (S/4HANA, ECC, Concur, SuccessFactors, or similar ERP / HR systems).
  • Strong understanding of business processes in at least one of the following areas: 
  1.          Finance / Accounting
  2.          Procurement
  3.          Human Resources
  4.          Travel & Expense management
  • Experience supporting system testing, data migration, or end user training in DX (enterprise system) implementations.
  • Ability to communicate effectively with both Research unit users and technical/project consultants.
  • Strong documentation skills and attention to detail.

Preferred Qualifications

  • Hands on experience with SAP S/4HANA, SAP Concur, and/or SAP SuccessFactors.
  • Experience working in an in-house or business-side role during ERP implementation.
  • Experience creating user manuals or delivering system training.
  • Ability to work in a fast-paced project environment and manage multiple priorities.

Contract initially with 6-month probationary period (inclusive).

This contract may be renewed by taking into consideration the performance evaluation, conduct, and behavior of the Employee and OIST’s financial and other circumstances.

Working Hours

Scheduled Working hours: 9:00 – 17:30

Rest period: 12:00 – 13:00

Flextime (core time 10:00-15:00) 7.5hrs per day (Multiplied by prescribed working days per month)
