The position

The Okinawa Institute of Science and Technology Graduate University (OIST; see www.oist.jp) is a dynamic new graduate university of science and technology in Okinawa Prefecture, Japan. The university is located on 85 hectares of protected forestland overlooking beautiful shoreline and coral reefs. The campus is striking architecturally, and the facilities are outstanding (OIST campus video tour). There are no academic departments, which facilitate multidisciplinary research. Outstanding resources and equipment are provided and managed to encourage easy access and collaboration. English is the official language of the University, and the university research community is fully international, with more than 50 countries represented. Division Function/Position summary:
OIST is looking for a Science Education Outreach Staff to assist the Admissions and Outreach Section (AOS) in the Graduate School of the Okinawa Institute of Science and Technology (OIST) in planning and coordinating educational outreach activities aimed at middle and high school students interested in pursuing careers in STEM fields. The Coordinator will be responsible to provide support in handling communication with external schools, scheduling, and tracking of transaction records related to science outreach programs. Through various activities, the Coordinator is expected to help building positive relationships with stakeholders such as external school teachers, representatives from external organizations, members of local municipal offices, as well as OIST internal community members.

Responsibilities
  1. Assist in planning and supporting AOS science education outreach activities and events
  2. Purchase and procure goods necessary to conduct science education outreach activities
  3. Assist in creating financial workflow to monitor transactions from external schools and organizations
  4. Collect, collate, and archive school visit records
  5. Make necessary updates about science education outreach activities on OIST website
  6. Provide assistance in preparing reports for the division and university
  7. Other matters related to above tasks and section responsibilities
Qualifications
  1.     A bachelor’s degree or equivalent professional working experience
  2.     Strong oral and written communication skills in Japanese (fluent) and English (business level)
  3.     Experience in supporting a workshop or event
  4.     Experience in collecting, cleaning, archiving, and reporting data  
  5.     Excellent professional communication skills with external vendors and other stakeholders
  6.     Excellent interpersonal skills with a strong focus on teamwork

Employment Term

Full-time, fixed-term appointment for 1 year. Contract initially with a 3-month probationary period (inclusive). This contract may be renewed for up to 3 years. 

 

Working Hours

Flextime (core time 10:00-15:00) 7.5hrs per day (Multiplied by prescribed working days per month)
