Domestic Grants Coordinator

The position

The Domestic Grants Section provides comprehensive support for both pre-award and post-award processes related to domestic external research funding, ensuring proper fund management and compliance with national regulations governing public research expenditures. The team actively gathers, analyzes, and disseminates grant information to faculty, researchers, students, and the leadership team, thereby enabling timely and strategic decision-making across the institution. To strengthen OIST’s competitiveness in securing large-scale grants, the Dean of Research leads a dedicated support team that coordinates institution-wide project planning, identifies relevant funding opportunities, recommends appropriate research themes, and proposes suitable principal investigators. These coordinated efforts, along with the implementation of performance-based incentive systems, aim to sustainably increase OIST’s third-party research income. Progress is monitored using key performance indicators, including both the number and the total value of awarded grants.

About OIST

The Okinawa Institute of Science and Technology Graduate University was established in 2011 to contribute to the development of science and technology worldwide and to serve as a hub of innovation in Okinawa. OIST is a dynamic new graduate university of science and technology in Okinawa Prefecture, Japan which offers a 5-year PhD program and brings together outstanding researchers from across the country and across disciplines to conduct cutting-edge scientific research.

Responsibilities
  1. Provide comprehensive support for pre-award and post-award processes related to domestic external research funding
  2. Ensure proper operation and management of public research funds in compliance with national regulations
  3. Collect, analyze, and disseminate domestic grant information to faculty, researchers, students, and the leadership team
  4. Enable timely and strategic decision-making by providing relevant funding intelligence across the institution
  5. Support institution-wide project planning for large-scale grant applications under the leadership of the Dean of Research
  6. Identify relevant large-scale funding opportunities and recommend optimal research themes
  7. Propose suitable principal investigators for strategic grant applications
  8. Contribute to the sustainable growth of third-party research income through performance-based incentive systems
  9. Monitor progress using key performance indicators, including the number and total value of awarded grants
Qualifications

(Required)

  1. Administrative work experience at a university or research institution.
  2. Knowledge and hands-on experience in managing external research funding.
  3. Experience with pre- and post-award administrative procedures, including preparation for the grant applications and budget registration using internal systems.
  4. Bachelor’s degree or higher.
  5. Proficiency in Microsoft 365 applications, particularly in data analysis using Excel.
  6. Native-level Japanese and business-level English proficiency.
  7. Strong communication skills to build smooth relationships with researchers and work collaboratively with stakeholders.
  8. Ability to manage multiple tasks efficiently and to identify and address issues proactively.


(Preferred)

  1. Administrative experience with competitive research funds.
  2. Work experience in an international environment.
  3. Work experience at a funding agency.

Employment Term

Term: Full-time, fixed term appointment for 2 years. Contract initially with 6-month probationary period (inclusive). This contract may be renewed by taking into consideration the performance evaluation, conduct, and behavior of the Employee and OIST’s financial and other circumstances.

Working Hours

Scheduled Working hours: 9:00 - 17:30
Break: 12:00 - 13:00
Flextime (core time 10:00-15:00) 7.5hrs per day (Multiplied by prescribed working days per month)


Holidays
Saturday, Sunday, National holidays, and Year-end and New Year holidays (Dec. 29 – Jan. 3)
