Degree Verification Instructions and Procedures

The OIST Graduate University is required to obtain direct verification of your degree completion or current enrollment from the universities you have graduated from or are currently attending. This process is part of our efforts to address recent concerns regarding diploma and degree mills, and we appreciate your cooperation. 

As part of your application to the OIST PhD Program, your educational background must be officially verified by your home institution, and the process must be completed prior to enrollment. Any costs incurred in obtaining the certificates for verification will be your own responsibility. 

 

1. Required Documents (All Applicants)

You must submit the following: 

  1. Latest academic transcript, and 
  2. Degree certificate or Certificate of Expected Graduation* 

Submission Guidelines by Status 

Your Status  Required Document(s)
Currently enrolled in a Bachelor’s, BS-MS, or Medical program  Certificate of Expected Graduation 
Must provide the final degree certificate and transcript before enrolling at OIST. 
Currently enrolled in a Master’s program Bachelor’s degree certificate 
Holder of multiple degrees  Certificate of the highest degree

 

2. Language of required Documents

All documents must be submitted in English
Official English versions issued by your institution are preferred. If unavailable, please submit a translation that clearly states the full name of the translator

 

3.Submission Deadline

Possession of at least a bachelor’s degree is a minimum requirement for admission to OIST. It is your responsibility to ensure that official proof of your degree is submitted and verified. 

  • Documents must be received by OIST at least one month before enrollment. 
  • To allow time for corrections or re-submission, please ensure final submission is completed no later than two weeks before your enrollment date. 

If the verification process is not completed prior to enrollment, you may be deemed ineligible for admission, and in the worst case, your admission offer may be withdrawn. 

Please note that issuing documents may take time at your home institution. Upon receiving your offer letter, you should contact the relevant office immediately to ensure timely submission. 

 

4. How Your Home Institution Has to Submit

In principle, documents must be submitted directly from your home institution to OIST.

  • The university/institution office must be clearly identifiable 
  • Send to: gs-registrar@oist.jp
  • If submitted via an authenticated website URL, downloaded files must include valid certification 
  • For email attachments, please use a secure file-sharing tool (e.g., FileSender) with password protection
