Admissions and Student Recruitment Coordinator

The position

The mission of the Graduate School of OIST is to provide first-class postgraduate education to the highest international standard. The Admissions and Outreach Section is charged with attracting qualified students to OIST and organizing educational outreach activities to develop a pathway for future talent in science. The Admissions and Outreach Section is further responsible for communications and the maintenance of relationship with alumni.

Position summary:
The Admissions and Student Recruitment Coordinator plays a key role in the admissions and enrollment process, and engaging with prospective students at OIST. This role involves close collaboration with academic staff including OIST students, postdocs, and faculty, as well as with other sections and divisions across the university. The coordinator will actively participate in student recruitment efforts, such as organizing information sessions and science workshops targeting university students in and out of Japan. The role is also responsible to provide admissions guidance to prospective students, and facilitate admission interviews with faculty members. 

About OIST

The Okinawa Institute of Science and Technology Graduate University was established in 2011 to contribute to the development of science and technology worldwide and to serve as a hub of innovation in Okinawa. OIST is a dynamic new graduate university of science and technology in Okinawa Prefecture, Japan which offers a 5-year PhD program and brings together outstanding researchers from across the country and across disciplines to conduct cutting-edge scientific research.

Responsibilities
  1. Application management: Overseeing the admissions application process, from inquiry handling to ensuring completeness, accuracy, and timely processing of applications.
  2. Admissions: Coordinating interview schedules and other components of the admissions process.
  3. Student engagement: Providing OIST program information, guidance, and support to prospective students through various communication channels including email, meetings, and online media.
  4. Student recruitment events: Panning, organizing, and executing student recruitment events and activities such as holding science workshop, campus tours, information sessions, and university fairs to attract potential students.
  5. Collaboration and communication: Working closely with OIST students, postdocs, and faculty members to align recruitment efforts with divisional and institutional goals.
  6. Data management: Maintaining accurate records and databases related to applicants, enrollment statistics, and student recruitment activities.
  7. Reporting: Generating reports and analytics to assess the effectiveness of admissions and student recruitment strategies.
  8. Other: Provide support for other section administrative tasks as needed.
Qualifications

(Required)

  1. Bachelor’s degree or equivalent
  2. Proficiency in English and Japanese


(Preferred)

  1. Experience in organizing events or workshops
  2. Experience in working with websites and social media
  3. Strong oral, written, presentation, and interpersonal skills
  4. Experience in studying or working in an international environment
