Student Support Staff

The Okinawa Institute of Science and Technology Graduate University (OIST; see www.oist.jp) is a dynamic new graduate university of science and technology in Okinawa Prefecture, Japan. The university is located on 85 hectares of protected forestland overlooking beautiful shoreline and coral reefs. The campus is striking architecturally, and the facilities are outstanding (OIST campus video tour). There are no academic departments, which facilitates multidisciplinary research. Outstanding resources and equipment are provided and managed to encourage easy access and collaboration. Division/Section Function:
The Graduate School is a division of the OIST Graduate University. The Dean is the head of the Graduate School. The mission of the Graduate School is to provide first-class postgraduate education to the highest international standard by offering academic and student support services. One of the Graduate School sections, Student Affairs Section provides OIST Graduate School students with support in the following areas: scholarship, financial support and housing; student welfare and activities; student counseling services; intern and visiting students; student travel support; other daily needs.

Role Summary:
OIST Graduate School seeks for a highly motivated individual who has passion to support students. The main responsibilities of the Student Affairs Staff are to provide welfare support, travel support, and financial support so that students can focus on their research throughout their OIST life.

1919‐1 Tancha, Onna‐son, Okinawa, Japan 904-0495

Responsibilities 

1. Handling monthly student payroll including Research Intern allowance and manage the payment data
2. Conduct Year-end tax adjustment for students
3. Assist the team leader to implement rules and regulations, workflow, and financial support mechanism for students as required
4. Prepare financial support materials such as tax, insurance, and external fund information for students
5. Contact point for relevant sections and offices related with student financial matters.
6. Correspond to the inquiries regarding tax, insurance, external funds, and financial support for students
7. Update the external fund opportunities for students and support application throughout the process
8. Other student affairs duties as directed by the Student Affairs Section Manager.

Qualifications 

(Required)
1. Excellent English (TOEIC 900 or higher) and Japanese (N1 for non-Japanese) writing and oral presentation skills
2. Ability to communicate effectively and professionally with students, administrative staff, researchers, and faculty from diverse cultural backgrounds
3. Advanced Word, Excel, Power Point skills to generate various reports
4. Ability to demonstrate initiative and problem-solving approach
5. Ability to work independently and as a member of a team
6. Ability to maintain a high level of accuracy and attention to details and data
7. Motivated work in Student Affairs Section
8. Valid Japanese Driver’s license

(Preferred)
1. Experience in Payroll management and HR related tasks
2. Knowledge in Japanese taxation and related paperwork
3. Experience in student support or academic administration or handling application for scholarships/external funds in a university or a research organization
4. Job experience in international environment
5. Strong knowledge of living environment in Okinawa

Starting Date 

As early as possible

Term & Working Hours 

Term: Full-time, fixed term appointment for 2 years. Contract initially with 3-month probationary period (inclusive). This contract may be renewed.

Working hours: Flextime (core time 10:00-15:00) 7.5 hrs per day (Multiplied by prescribed working days per month)

Compensation & Benefits 

Compensation:
In accordance with the OIST Employee Compensation Regulations
Annual salary: 2.4 million ~ 4.5 million yen (Job class: Administrative staff I, A1)
