The Okinawa Institute of Science and Technology Graduate University (OIST; see is a dynamic new graduate university of science and technology in Okinawa Prefecture, Japan. The university is located on 85 hectares of protected forestland overlooking beautiful shoreline and coral reefs. The campus is striking architecturally, and the facilities are outstanding (OIST campus video tour). There are no academic departments, which facilitates multidisciplinary research. OIST's Human Resource Division supports our staff in a wide range of situations, from entry to exit. To become an OIST HR professional, the HR Staff will first be assigned to Recruiting Section and be responsible for the entire recruitment lifecycle, which is the entry point of OIST's development, and will then move on to further develop their skills through job rotation within HR.

Position Summary: 
OIST's Human Resources Division assists staff in a wide range of situations, from entry to exit. To become an OIST Human Resources professional, you will work in one of the five sections of the Human Resources Division, gaining experience through job rotations. You will be assigned to the section in charge of payroll and welfare operations, and after gaining experience, you will move on to other sections to become an HR specialist. We welcome those who want to build the career as an HR person in an international environment.

  1. Point of contact for various inquiries from staff at OIST  
  2. Support for personnel database construction and data entry into the personnel system  
  3. Support for staff attendance management  
  4. Support for system administration  
  5. Support for payroll calculation  
  6. Support for social insurance administration  
  7. On-campus public relations for document submission deadlines and notices  
  8. Other project work as assigned by the manager  


  1. Experience in administrative work (regardless of industry or year of experience)  
  2. Business level English proficiency (equivalent to EIKEN level 1, IELTS 5.5)  
  3. Experience using Microsoft Office (especially Outlook, Excel, SharePoint)  
  4. Experience working in an HR department or HR related department is a plus  
  5. Experience working with personal information is a plus.

Term & Working Hours 

Term: Full-time, fixed term appointment for 2 years. Contract initially with 3-month probationary period (inclusive). This contract may be renewed.

Working hours: Flextime (core time 10:00-15:00) 7.5 hrs per day (Multiplied by prescribed working days per month)
