The Okinawa Institute of Science and Technology Graduate University (OIST; see is a dynamic new graduate university of science and technology in Okinawa Prefecture, Japan. The university is located on 85 hectares of protected forestland overlooking beautiful shoreline and coral reefs. The campus is striking architecturally, and the facilities are outstanding (OIST campus video tour). There are no academic departments, which facilitates multidisciplinary research. Outstanding resources and equipment are provided and managed to encourage easy access and collaboration. English is the official language of the University, and the university research community is fully international, with more than 60 countries represented. The recruiting staff is responsible for managing full life cycle recruiting: recruiting, screening and recommending placement of staff by using creative sourcing methods, managing hiring managers’ expectations, and developing an excellent relationship with internal and external stakeholders to ensure achievement of staffing goals.

  1. Coordinate with hiring manager(s) to determine staffing needs and the best process for the position(s).
  2. Build candidate sources by contacting resources, screen resumes, arrange interviews with candidates, administer appropriate travel arrangements for interviews, conduct assessments and background checks, and extend verbal and written job offers.
  3. Use resources, such as Agencies, Career fairs, LinkedIn, SNS, etc., to identify and attract quality candidates.
  4. Communicate closely with candidates to sell OIST opportunities and be a career mentor to support smooth decision making at time of offer
  5. Develop and maintain an excellent relationship with internal clients to ensure achievement of staffing goals.
  6. Other duties as assigned by the Manager.



  1. Able to build and maintain strong relationships with candidates, recruiting agents and stakeholders.
  2. Capable of managing online recruitment resources such as LinkedIn, SNS, etc.
  3. Able to multitask and handle a variety of recruitment positions.
  4. Excellent written and spoken communication skills in English and Japanese.


  1. Experience working in an international environment where a large portion of the employees are internationally recruited.
  2. Recruiting experience in stat-up, tech companies is a plus.
  3. Hands-on knowledge of recruitment tools.

Term & Working Hours 

Term: Full-time, fixed term appointment for 2 years. Contract initially with 3-month probationary period (inclusive). This contract may be renewed.

Working hours: Flextime (core time 10:00-15:00) 7.5hrs per day (Multiplied by prescribed working days per month)
