Procurement Staff

The position

The Procurement and Supplies Section is responsible for the procurement of goods and services such as research equipment, materials, and office supplies, as well as the process of properly handling domestic and international travel expenses for assignees and faculty members. As a university that receives most of its operating funds from public sources, the Procurement Section is accountable to the taxpayers, and therefore, in order to fulfill its duties in compliance with laws and rules, the Section strives daily to ensure that the procurement and travel expense processes are efficient and timely, as befits a world-class university.

This position reports to the Purchasing Team Leader under the Procurement and Supplies Section Senior Manager and is primarily responsible for the procurement of goods and services and related duties.

Responsibilities

1. Confirmation of purchase requests, placement of orders with vendors, and resolution of contracts (including handling of contracts in English)
2. liaison and coordination with procurement requesting departments and external parties
3. general operation and input of accounting system
4. management and operation of the university's insurance program 5. other related coordination duties
5. Other related coordination tasks.

In the future, the successful candidate will be assigned to a procurement, budgeting, or accounting-related function within the Finance Division, with the goal of becoming an OIST finance professional.

Qualifications

(Required)

  1. At least 3 years of experience in procurement, accounting, or general affairs
  2. Experience in handling ERP (integrated business system)
  3. Excellent interpersonal and communication skills in Japanese and English and the ability to handle tasks (accurately and quickly)
  4. Intermediate computer skills (Microsoft Office, etc.)
  5. Business level English skills (TOEIC 700 approx.)

(Preferred)

  1. Experience in import/export business
