Office of the Dean of the Graduate School Staff
The Graduate School is a division of the OIST Graduate University lead by the Dean of the Graduate School. The Graduate School’s major role is to provide academic services, student support, and administrative support. The Office of the Dean of the Graduate School coordinates the activities of the Graduate School and facilitates communication both inside and outside the division. It also liaises with other institutions outside of OIST. Finally, the Office of the Dean of the Graduate School is primarily responsible for detection of challenges that students may be facing and coordinates intervention measures.
The position will assist in clerical, administrative and other duties of the Section in line with the responsibilities listed below.
- Assist in daily administration of the Office of the Dean of the Graduate School.
- Perform routine administration tasks in support of purchasing and travel arrangements.
- Support coordination of divisional projects and programs.
- Telephone reception for the Office of the Dean of the Graduate School.
- Official records management for Office of the Dean of the Graduate School.
- Assist with special projects as needed.
- Provide secretariat support for the Graduate School committees and meetings as needed.
- Other administrative tasks as required by the manager of the Office of the Dean of the Graduate School.
(Required)
- Associate degree
- Excellent English (TOEIC 900 or higher) and Japanese (N1 for non-Japanese) writing and oral presentation skills
- Ability to communicate effectively and professionally with students, administrative staff, researchers, and faculty from diverse cultural backgrounds
- Advanced Word, Excel, Power Point skills to generate various reports
- Ability to demonstrate initiative and problem-solving approach
- Ability to work independently and as a member of a team
- Ability to maintain a high level of accuracy and attention to details and data
- Motivated work in OIST Graduate School
- Valid Japanese Driver’s license
(Preferred)
- Bachelor’s degree
- Experience in a university administrative environment.
- Job experience in international environment

Full-time, fixed term appointment for 2 years contract initially
任期:常勤、3ヶ月の試用期間を含む1~2年間の任期制雇用(更新可)
- Flextime (core time 10:00-15:00) 7.5 hrs per day (Multiplied by prescribed working days per month)
- Mon-Fri, 7.5 or 9 hour/day work shift between 7:30 - 18:30 *CDC operation hours (8:00-18:00) (Total working hours per month = 7.5 hours/day × prescribed working days of the month)
勤務時間:

- 週5日(月~金)1日7.5時間又は9時間の変形労働時間制労働 (シフトは午前7:30から午後6:30の間に組まれます。保育園の営業時間は午前8時~午後6時まで)
