The Okinawa Institute of Science and Technology Graduate University (OIST; see is a dynamic new graduate university of science and technology in Okinawa Prefecture, Japan. The university is located on 85 hectares of protected forestland overlooking beautiful shoreline and coral reefs. The campus is striking architecturally, and the facilities are outstanding (OIST campus video tour). There are no academic departments, which facilitates multidisciplinary research. Outstanding resources and equipment are provided and managed to encourage easy access and collaboration. English is the official language of the University, and the university research community is fully international, with more than 50 countries represented. Position Summary
In addition to textbooks and reference books used in classes, our Library collects and provides many electronic contents to its users.  Staff in this position will also be responsible for receiving books and subscriptions to electronic journals and managing property books. We also actively disseminate our research results through the OIST Institute Repository (IR).  For this reason, library staff follow the guidelines for copyright processing, obtain the accepted manuscripts from researchers, and check bibliographic information before registering.  In addition, we will also provide user support for counter operations and software and repository seminars to users.  We also encourage staff to participate in library-related workshops and training, so we would like to recruit a person who wants a long career in the library.

The Library Staff (Acquisition & Institutional Repository) tasks include but are not limited to the following.

  1.    Input/order / settlement works related to purchasing including books, journals, databases and system updates.  
  2.  Register books in the Library systems
  3.  Manage textbooks and asset books
  4.  Deposit research outcomes in the repository software and support users for Open Access issues
  5.  E-mail communication with researchers for copyright permission or obtaining the final manuscript from them
  6.  Support  online service, systems, and software  problems at the Library
  7.  Respond to inquiries to the Library
  8.  Dissemination of information on library services through internet channels such as OIST website
  9.  Support seminars and orientations
  10.  Provide data for statistics
  11.  Assist users at the Library counter
  12.  Other miscellaneous duties assigned



  1. Knowledge of bibliography or cataloging
  2. Excellent written and oral communications skills in English  and Japanese
  3. Computer skills and proficiency in MS Office and document management software
  4. Ability to prioritize, meet deadlines, to be responsive and flexible to adjust to a changing work environment
  5. Ability to understand business etiquette and interact with patrons


  1. Experience at the university libraries
  2. Library Information Science degree
  3. Japanese’s Librarian Certificate (Sisho)

Report to 

Assistant Manager of the Library Section

Starting Date 

As early as possible

Term & Working Hours 

Term: Full-time, fixed term appointment for 2 years. Contract initially with 3-month probationary period (inclusive). This contract may be renewed.

Working hours: Flextime (core time 10:00-15:00) 7.5 hrs per day (Multiplied by prescribed working days per month)
