International Grants Coordinator
The International Grants Section plays a vital role in supporting the acquisition and management of international external research funding at OIST. The section provides assistance throughout both pre-award and post-award processes, ensuring appropriate use and compliance in the management of public research funds. While the focus is on international funding, the scope may also include other sources. Team members proactively collect and share information on funding opportunities with faculty, researchers, students, and the leadership team, enabling timely and strategic decision making across the institution. Under the leadership of the Dean of Research, a dedicated support team coordinates institution-wide project planning for large-scale grant applications by identifying strategic research themes and recommending appropriate principal investigators. These efforts aim to strengthen OIST’s research competitiveness and contribute to a healthy and proportional increase in third-party research income. Progress is evaluated based on key performance indicators, including the number and total value of awarded grants.
The Okinawa Institute of Science and Technology Graduate University was established in 2011 to contribute to the development of science and technology worldwide and to serve as a hub of innovation in Okinawa. OIST is a dynamic new graduate university of science and technology in Okinawa Prefecture, Japan which offers a 5-year PhD program and brings together outstanding researchers from across the country and across disciplines to conduct cutting-edge scientific research.
The university is located on 85 hectares of protected forestland overlooking a beautiful shoreline and coral reefs. The campus is striking architecturally, and the facilities are outstanding. - Provide support for pre-award processes related to international external grant applications
- Provide support for post-award processes including grant implementation and compliance
- Ensure proper operation and management of public research funds, with a primary focus on international grants
- Collect, analyze, and share information on international funding opportunities
- Disseminate grant information to faculty, researchers, students, and the leadership team to support timely and strategic decision-making
- Contribute to institution-wide project planning for large-scale grant applications
- Identify suitable funding opportunities and propose strategic research themes
- Recommend appropriate principal investigators for specific funding calls
- Support the university’s goal of increasing third-party research income through coordinated and strategic efforts
- Track and report key performance indicators such as the number and total value of awarded Grants
(Required)
- Experience in applying for and obtaining external funding at universities, research institutions, government agencies, companies, etc. (e.g., those with experience in supporting EU or U.S. grants or KAKENHI application)
- Able to use English at a business level for written and oral communication
- Possess the enthusiasm to perform the duties related to this work and basic business skills such as hospitality, communication, and computer skills (Word, Excel, PowerPoint, etc.)

- Experience working in an international environment
- Experience with post-award procedures and award setup
- Experience working at a funding agency
- Intermediate level of Japanese

Full-time, fixed term appointment for 2 years. Contract initially with 6-month probationary period (inclusive). This contract may be renewed by taking into consideration the performance evaluation, conduct, and behavior of the Employee and OIST’s financial and other circumstances.
Scheduled Working hours: 9:00 – 17:30
Rest period: 12:00 – 13:00
Flextime (core time 10:00-15:00) 7.5hrs per day (Multiplied by prescribed working days per month)
