External Engagement Section Administrative Staff
The Graduate School is a division of the OIST Graduate University led by the Dean of the Graduate School. The Graduate School’s major role is to provide academic services, student support and administrative support.
The External Engagement Section of the Graduate School is charged with attracting potential students to OIST, and organizing outreach science and activities to engage alumni who are graduates of our degree programs.
The successful applicant will gain a broad range of experience and knowledge related to educational administration including organizational skills, use of relevant software packages, records management, communications, and cross-sectional cooperation.
The position will assist in clerical, administrative and other duties of the Section per in line with the responsibilities listed below.
- Assist in the daily administration of the External Engagement Section (EES)
- Perform routine administrative tasks in support of purchasing
- Support different section teams in daily duties and projects as needed
- Support the organizing of events and workshops tasked to the section
- Keep records and maintain a database of EES-led events and activities
- Assist in creating promotional materials and documents to advertise Graduate School programs
- Assist in creating website updates and SNS content to attract prospective students
- Provide secretariat support for internal and external meetings
- Other administrative tasks as necessary

Required
- Associate degree
- Proficiency in both English and Japanese
Preferred
- Bachelor's degree
- Experience in working in an international working environment
- Experience in organizing online and/or in-person events
- Strong interpersonal and customer-oriented communication skills
- Professional written and oral presentation skills
- Familiarity with working with different websites, software, and other digital tools

Term: Full-time, fixed term appointment for 2 years. Contract initially with 3-month probationary period (inclusive). This contract may be renewed.
Flextime (core time 10:00-15:00) 7.5 hrs per day (Multiplied by prescribed working days per month)
